Privacy notice
Last updated 20 October 2026.
This notice explains what we collect when you use this website, why, who helps us handle it, and your rights under UK data protection law (the UK GDPR and the Data Protection Act 2018).
Who we are
Roomwalk is a trading name of Bússola Malandra, Lda, a private limited company (sociedade por quotas) registered in Portugal. Our registered address is Vereda do Lugarinho, nº 11 C, 9200-124 Machico, Madeira, Portugal. We are the controller of the personal data described here. Questions, requests and complaints go to hello@roomwalk.co.uk.
What we collect and why
- When you ask for a free preview: the listing link (or that you don't have one yet) and your work email. We use them to build your preview, send it to you and follow up about it. The lawful basis is taking steps you asked for before a possible contract.
- If you add details: your name, agency, phone number, your role, what floor plan or room measurements you have, and the measurements themselves. We use them to build the tour correctly and to contact you about it. Same lawful basis as above.
- If you tick "Email me occasional Roomwalk updates": we use your email for those updates. The lawful basis is your consent, which you can withdraw at any time by replying to any email or writing to us.
- How you found us: the ad or campaign tags in the link you followed (for example
utm_source), the page that sent you, the version of this page you saw, and whether you opened the 3D tour. We use this to see which ads and messages work. The lawful basis is our legitimate interest in running our marketing sensibly; it is stored with your request, not on its own. - Page visits: counted with Vercel Web Analytics, which uses no cookies and doesn't identify you.
We don't sell your data, and we only use listing photos that you send us or ask us to use.
Who handles it for us
- Google receives the form and stores what you send in Google Sheets, and sends us an email alert about it (Google Workspace / Google Apps Script).
- Vercel hosts this website and provides the cookieless visit counts.
- Meta (Facebook and Instagram), only if you click "Accept" on the cookie banner. The Meta pixel then sets cookies to measure our ads, including whether a visit led to a preview request. If you click "Reject", or ignore the banner, the pixel never loads.
These providers may process data outside the UK, including in the United States. Where they do, they rely on UK adequacy regulations (such as the UK extension to the EU-US Data Privacy Framework) or the UK's approved contract clauses.
Cookies and similar storage
Without your consent we only store what the site needs to work: your form progress in this browser tab (so a retry doesn't create a duplicate request) and your cookie choice. The Meta pixel's cookies are set only after you accept.
How long we keep it
We keep preview requests and the details that came with them for 12 months from your last contact with us, then delete them. If you become a customer, we keep what we need for the published tour and our accounts for as long as the law requires.
Your rights
You can ask for a copy of your data, ask us to correct it or delete it, object to how we use it, or ask us to restrict using it. You can withdraw consent at any time. Email hello@roomwalk.co.uk; we reply within one month.
If you're unhappy with how we've handled your data, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We'd appreciate the chance to put things right first.
